1. ACCOUNTABILITY/REPORTING

The Procurement Manager reports to the Finance Director. The head of the department is the Finance Director.

2. JOB OVERALL PURPOSE

Under the guidance of the Finance Director, the Procurement Manager is responsible for the effective delivery of procurement services to the company and ensuring the department is synchronized to meet the organizations needs

3. KNOWLEDGE, SKILLS AND EXPERIENCE REQUIRED

Qualifications: A degree in business administration/supply chain management, procurement or its equivalent
MUST be a member of the procurement body of kenya institute of supplies management.

Experience: Minimum 4 years in a busy procurement environment

KEY ROLES AND RESPONSIBILITIES

  • Manage stock levels and identify purchasing needs in coordination with the Assistant Purchasing Manager and procurement assistant and the store’s department
  • Research potential vendors
  • Track orders and ensure timely delivery in coordination with the department
  • Ensure continuous update of internal databases with order details (dates, vendors, quantities, discounts, etc)
  • Evaluate offers from vendors and submit proposals for final approval
  • Manage the administrative process throughout the duration of the preparation of all documentation until the award of the work
  • Follow up with suppliers, as needed, to confirm or change orders
  • Liaise with warehouse staff to ensure all products arrive in good condition
  • Ensure all procurement related KPI, practices and policies are adhered to and compliance by the whole department
  • Researching pricing obtaining quotes locally on low-value items and submitting proposals for approval
  • Coordinate with requestors and make sure the right materials are needed. Find out the sample of the material to be purchased if necessary
  • Strategic management of procurement activities in line with the company’s Strategic Plan
  • Perform other duties related field as assigned
