The Finance Coordinator, Grants will coordinate COVID-19 KFW Grant elements related to finance, procurement, reports and documentation as per the granting agency requirement and institutional financial policies. The coordination includes liaising with three AKHS Hospitals (Mombasa, Kisumu and Dar es Salaam) on getting reports, transmission of funds, funding requests with support document verification – patient welfare and procurement.
Receive funding requests form beneficiaries.
Evaluate funding requests as per the grant agreement and KFW procurement policies.
Verification and assessment of the funding requests related to patient welfare, supplies, capital equipment and staff costs.
Request for the release of funds to the beneficiaries based on documentary evidence.
Maintain financial records as per the granting agency needs.
Develop grant financial reports, share it with Senior Manager Finance and Manager Planning and Budgeting for review.
Maintain procurement plan of the grant as per the granting agency needs and approved budget.
Responsible to manage overall grant accounting in the general ledger.
Develop payments for the eligible grant expenditures.
Prepare journal vouchers to recognize direct and indirect recoveries.
Maintain inter-unit schedules between beneficiaries in the general ledger.
Maintain fixed assets register of the grant funded equipment.
Get payments approved and release of funds.
Prepare regional monthly grants newsletter.
Work closely with the Budget Coordinator–AKU Finance to ensure that the impact of grants is properly and accurately included in the core budget.
Support the grants and contract department in monthly and annual financial closing.
Initiate external grant financial audit as per the grant agreement.
Coordinate and oversee the external audit.
Issuance of the audit report within the required timeline.
Train and mentor staff within the department.
Supervise the grants finance officers.
Participate in all team efforts as departmental needs arise.
CPA qualification with undergraduate degree in business or commerce
Minimum 3 years of continuous, professional experience in finance.
Project management and accounting experience is preferred.
Experience in teaching hospital with academic setting is an added advantage.
Excellent interpersonal and communication skills.
Demonstrable problem solving and critical thinking skills.
